How a San Diego Dine-Around Works

The concept is simple: one group, one night, multiple restaurants. Each restaurant hosts a share of your attendees, usually in a private room, semi-private section or reserved block of tables, with a group menu agreed in advance. Everyone eats at the same time, which keeps the evening on schedule if you have a reception before or an event after.

Dine-arounds work especially well for conferences, incentive trips, sales meetings and association gatherings, where hundreds of people would otherwise end up in one room or scattered across town with no plan. Smaller tables mean more conversation and a better sense of the city.

Assigned Seating vs. Self-Select

There are two ways to place guests, and the right one depends on your goals.

Assigned. You or we decide who goes where. This is the best option when you want to mix teams, seat executives with key clients, keep regions together or balance numbers precisely. Guests receive their restaurant assignment with the address and timing ahead of the event.

Self-select. Guests choose from a set list of restaurants, usually through registration, until each one reaches capacity. This gives attendees ownership of their evening and tends to work well for incentive trips and loosely structured conference nights. Popular restaurants fill first, so we size the list with a little spare capacity.

Either way, we manage the lists, track changes and cancellations, and send each restaurant its final headcount and dietary notes before the night. If you'd rather give guests total freedom with a set budget, our dining voucher programs let attendees spend a fixed amount at participating restaurants on their own schedule.

Logistics: Transport, Check-In and Billing

Transportation. When restaurants are clustered in a walkable neighborhood, guests can stroll from the hotel. When they're spread out, we arrange private vehicles, executive vans or shuttles so groups arrive together and on time.

Check-in. Each restaurant receives its guest list ahead of the event, so arrival is a quick name check at the door rather than a scramble. Guests know where they're going before they leave the hotel.

Dietary needs. We collect restrictions with registration and send them to the right kitchen, so every guest gets a full meal no matter which restaurant they're at.

Billing. After the event we reconcile each restaurant's check against the agreed menu and headcount and roll everything up into one clear summary for your finance team, so you aren't chasing a stack of separate receipts.

How far in advance should we plan?

Earlier is better, because every restaurant in the lineup needs to hold space on the same night. For most group dinners we suggest four to eight weeks; larger multi-venue programs benefit from more lead time, especially during big convention weeks and the holiday season. Short timeline?
