How we plan an executive or client dinner

1. A short brief

Tell us who is attending, the purpose of the dinner, the date, any dietary needs and your budget. A relationship dinner and a pitch follow-up call for different rooms.

2. Room options

We send private room options matched to your headcount, tone and location, with real pricing. You choose; we hold the room.

3. Menu, wine and details

We set the menu, wine selection, AV if you need it and any personal touches, such as custom menus with your logo. Dietary requirements go into the catering brief.

4. Briefed service, on the night

The venue knows who the host is, how the evening should flow and when to step back. We coordinate on the day and follow up afterward.

Small, high-stakes dinners go wrong in small ways: a loud room, a rushed main course, a server interrupting at the wrong moment. Our planning is built to prevent exactly those problems.

  • A real private room: an enclosed space with a door, not a roped-off corner of the main dining room. For the most sensitive conversations, we look for rooms with their own entrance or a full buyout.
  • The right table: one long table for a board or partner dinner, so every voice carries; rounds for a larger client dinner, so guests can mix.
  • Menu and wine: a set menu, or a short choice of entrées, with a wine selection that signals care without stealing focus.
  • Discreet service: we brief the service team on the purpose of the table, the host and the pacing, so courses arrive when the conversation allows.
  • AV when needed: some rooms have screens and microphones for a short presentation; others are purely social. We match the room to the agenda.

Where to host an executive dinner in San Diego

Location matters as much as the menu. Guests who have spent the day in meetings do not want a long drive to dinner.

Downtown and the Gaslamp Quarter have the deepest supply of private rooms, close to the convention center and the main hotels. Our own Greystone in the Gaslamp has an enclosed Wine Room that seats up to 18 at one large table, with a working fireplace, wall-to-wall wine cases and available AV. How much does an executive dinner in San Diego cost?

Our planning is free; the venues pay us, not you. You pay for the dinner itself: food, wine and beverages, and any venue minimum for the private room. The total depends on the venue, menu and wine you choose. Your proposal lists every cost up front, and because we negotiate on your behalf, groups often pay less than booking direct.

What is the smallest group you will plan for?

We have planned intimate eight-person executive dinners, and our groups typically range from around 10 guests up to several hundred. Some private rooms set a guest minimum, while others set a food and beverage minimum instead. We match your headcount to rooms where the group will feel right, not lost in a space built for forty.

How far ahead should we book a client dinner?

We recommend four to eight weeks for corporate dinners, especially for Thursday and Friday nights or during major conventions, when the best private rooms go first. Shorter notice is welcome. We once found a client a Gaslamp venue in two days when their original space fell through. Send your date and we will tell you honestly what is available.

Can you arrange wine and a set menu in advance?

Yes. We agree the menu and wine selection with the venue before the dinner, whether that is a fixed menu, a short choice of entrées or pairings with each course. Pre-setting the menu keeps the evening on pace and the bill predictable, and it means the host can focus on guests instead of ordering.

How do you keep a business dinner private and discreet?

We start with the room: an enclosed private space rather than a semi-private section. We brief the service team on the host, the pacing and when to step back. If presentation or confidential discussion is planned, we choose a room suited to it and confirm AV ahead of time. For maximum privacy, a full buyout gives your group the entire venue.

How do you handle dietary restrictions?

We collect dietary information from your guest list ahead of the dinner and build it into the catering brief, whether that is gluten-free, vegan, kosher, halal, nut-free or another need. For a small executive table, we can confirm each guest’s requirements individually, so nobody receives a lesser plate.

Is there a deposit?

There is no deposit for our planning service. A venue may ask for its own deposit to hold a private room or confirm a minimum. If it does, we tell you the amount and the deadline up front, in writing, before anything is committed, and we can work with your accounts payable process.
