Book Before Show Week Fills the Gaslamp

Planning an ASCB 2026 San Diego dinner for clients, collaborators or your own booth team? Per the San Diego Convention Center calendar, the American Society for Cell Biology Annual Meeting runs December 12–16, 2026, with about 6,000 expected attendees. Confirm final dates and schedules with the organizer before you lock in a night.

That week carries a second squeeze. It lands in the middle of holiday party season, when Downtown restaurants are already booking private rooms for year-end celebrations. Exhibitors, sponsors and life-science sales teams who wait until the show is close often find the best Gaslamp rooms near the Convention Center already taken.

We source the room for you. Tell us your headcount, night and budget, and within 24 hours you'll have real options walkable from the Convention Center. There is no planning fee: the venues pay us, not you. You pay only event costs such as food, beverage and any venue minimum, all listed in your proposal.

Client Dinners, Receptions and Team Nights During ASCB

Most show-week events fall into a few formats, and we plan all of them:

  • Client dinners. A private room where your scientists or account leads can talk without trade-floor noise. Our executive and client dinners page covers the format.
  • Receptions. A cocktail hour or standing reception for customers and partners after the exhibit hall closes.
  • Larger hosted dinners. Semi-private spaces or a full buyout when the guest list outgrows one room.
  • Team dinners. A night off the booth for the people who staffed it.

Life-science companies are a big part of our work. Our biotech and pharma group dinners page explains how we handle logo menus, AV for a short presentation, and fixed menus with drink limits that keep spend predictable.

Where to Host Near the Convention Center

The Convention Center sits on the edge of the Gaslamp Quarter, so the best private room is often a short walk from the exhibit hall. Historic buildings, steakhouses and rooftop spaces all sit within those blocks. When the Gaslamp books up, East Village and the wider Downtown core add more choice without adding a long ride.

We also own two private venues bookable only through us. Greystone has a supper-club feel suited to a hosted client dinner, and Kaluu is more relaxed, a good fit for a team night or reception. See Greystone for details.

Not sure which room type fits? Our private dining rooms page compares enclosed rooms, semi-private spaces and buyouts, and our San Diego Convention Center page shows how we time dinners around show hours.

Booking Your ASCB 2026 San Diego Dinner Early

Mid-December is one of the busiest stretches of the year for private dining in San Diego. The meeting brings thousands of attendees Downtown while local companies hold their year-end parties, and both groups want the same thing: a private room close to the Convention Center on the same handful of nights.

That's why we suggest starting as soon as your team knows who is traveling. Early requests get the widest choice of rooms and nights. Late requests still get options, just fewer of them. Planning your own company's celebration too? Our corporate holiday party team can quote both at once.

Every event includes venue and vendor sourcing, rate negotiation, contract review, a timeline and budget, and event-day coordination. Dietary requirements are collected in advance and built into the catering brief.

We are an independent venue-sourcing service and are not affiliated with or endorsed by the American Society for Cell Biology or its annual meeting.

Convention-Week Dinners We've Delivered

For Phibro, we found an unconventional but business-professional Gaslamp restaurant for a 40-guest client dinner after a day at the Convention Center: a single-table setup, a budget-friendly group menu with a drink limit, and custom menus featuring the host's logo.

Scale isn't a problem either. For the California Cattlemen's Association we planned a VIP dinner for 245 convention guests near the Gaslamp, with a cocktail hour, custom table layouts and logo menus. More ideas in our executive client dinners guide.

ASCB 2026 Dinner FAQs

When is ASCB 2026 in San Diego?

Per the San Diego Convention Center calendar, the American Society for Cell Biology Annual Meeting is scheduled for December 12–16, 2026, with about 6,000 expected attendees. Schedules can change, so confirm dates, session times and exhibit hours with the organizer before choosing your dinner night. We plan around whatever schedule you confirm.

How early should we book a dinner during the meeting?

As early as you can. The meeting overlaps holiday party season, so private rooms near the Convention Center are in demand from two directions at once. Starting early gives you the widest choice of rooms and nights. If your plans firm up late, ask anyway; we'll show you what's still open.

What does a show-week client dinner cost?

Cost depends on headcount, the venue, the menu, the bar plan and any room minimum. Your proposal lists every event cost before you commit, so there are no surprises. Our planning is free because the venues pay us, and because we negotiate, groups often get better pricing than booking direct.

Can you handle both a small dinner and a large reception?

Yes. We plan for groups from 10 to 500+, from an intimate private room for key customers to a full buyout for a sponsor reception. Many companies book two events in one week, such as a client dinner and a team night, and we can coordinate both in one proposal.

Can we add our logo, a presentation or specific menu options?

Yes. We regularly arrange custom menus featuring a company logo, AV for slides or short remarks, and menus with set options such as fish, vegetarian and steak. Dietary requirements are collected in advance and built into the catering brief so every guest is covered.

Are you the official ASCB hospitality provider?

No. We are an independent venue-sourcing service and are not affiliated with or endorsed by the American Society for Cell Biology. We help exhibitors, sponsors and attendee groups book their own private dinners and receptions in San Diego during the meeting.
